How to pro-rate invoice amounts?

AOneSchools system offers two types of pro-rating functionalities:


1st - Pro-rate only the 1st Invoice 


To generate the first invoice in a pro-rated format, ensure that when enrolling a student in a lesson, you select the option "Generate Invoice on Enrolment." Choose whether the invoice should be pro-rated based on the remaining classes in [x] months or based on the remaining days in [x] months.


  • Pro-rate on remaining classes: For example, if your package fee is $100 for 4 classes in a month and there are only 2 classes remaining when you enrol the student, the system will generate an invoice for $50 using this calculation: $100 / 4 * 2


  • Pro-rate on remaining days: For example, if your package fee is $300 per month and there are 12 days remaining in that particular month when you enroll the student, the system will generate an invoice for $120 using this calculation: $300 / 30 * 12.



Note: The pro-rate feature is only available for recurring packages with a monthly recurrence.


2nd - Pro-rate on a monthly basis depending on the number of weeks (e.g., 4 / 5) in that particular month


This feature applies to centers that charge monthly fees based on the number of weeks in a month. For instance, if the standard fee is $100 per month and there is a 5th week, the fee for the 5th week class will be charged.


To enable the system to calculate pro-rated fees based on weeks or number of class, check the box labeled "Auto-adjust according to number of classes each month." in your package setting. This allows the system to generate invoices based on the number of classes in a month or adjust for any lessons falling on holidays, using the standard number of weeks (4) and your set package price.


You can better understand these scenarios with the following examples:


1st Scenario - Usual schedule with no holiday: If the month has the usual 4-week class schedule, the price charged will follow the package price.


2nd Scenario - Usual schedule with a holiday: If the month has the usual 4-week class schedule but one class falls on a holiday, the system excludes the holiday fee and charges the student in a pro-rated format, e.g., $100 / 4 * 3.


3rd Scenario - 5-week schedule: If the month includes 5 weeks of classes, the system calculates the student's fees in a pro-rated format, e.g., $100 / 4 * 5.
