What can you do in Settings? How do these changes reflects?

There are five (5) settings that you can configure for your learning centre: Finance settings, Remarks settings, Tags, Notification settings, and Other settings. 

Each of these settings has its own submenu, enabling you to make additions, changes or reductions according to your centre's needs.


Finance Settings 


Finance settings encompass billing options for parents and students. Within Finance Settings, you can configure:


Tax Settings: 

  • Enable this if taxes need to be added to the invoice. Enabling tax settings will automatically include the tax amount in your invoice items. If there are non-taxable items, you can edit the invoice accordingly. 


Extra Invoice Items: 

  • This section is for any additional one-time charges outside the package fees, such as registration or material fees. By listing these items here, you can conveniently select them from a dropdown menu when adding items to your invoice.

  • Discounts / Penalties: 

  • If your center offers discounts or imposes penalties, such as sibling discounts or late payment charges, you can manage them here. Listing these options allows you to easily apply them when creating invoices.


Payment Method Options: 

  • If your center accepts payment methods beyond Cash, Cheque, Online Banking, Credit Card, and Others, you can specify them here. This ensures accurate recording of payments and better tracking of fee collections.


Overdue Invoice Reminder Notification: 

  • This feature sends invoice reminders to parents/students via email and mobile app based on the specified number of days after the due date. For instance, setting it to 1 will prompt a reminder one day after the due date. You can customize the frequency by selecting multiple days, ensuring timely reminders for overdue invoices. If you untick this option, no overdue invoice reminder notifications will be sent to parents' email and mobile app. 


Remarks Settings


Remarks Settings encompass options for adding notes to billing documents. Within Remarks Settings, you can include:


    Invoice Remarks: 

  • Add custom notes to invoices sent to parents/students. For example: Please ensure payment is made before the 10th.


    Invoice Picture Settings: 

  • Incorporate images, such as a centre's QR code, to appear at the bottom of invoices for enhanced branding or functionality.


    Payment Remarks Settings: 

  • Include personalized notes on receipts issued to parents/students post-payment. For instance: "Thank you for your prompt payment.


    Credit Note Remarks Settings: 

  • Append notes to Credit Notes sent to parents/students. Credit Notes are utilized for refunds from the center to parents.


Tags


Tags facilitate the categorization of levels or lessons. Within Tags, you can include:


    Subject Level: 

  • Used to distinguish between student levels (e.g., Standard 3).


    Subject Type: 

  • Allows for a tagging system where the same subject can be tagged under different levels. For example, tagging science lessons for all levels 1, 2, and 3 science classes.


After configuring your tags settings, you can apply these tags to your lesson settings. This enables you to generate revenue performance reports based on subjects or levels. Please note that the accuracy of reports may be affected when using recurring combo and universal credit package types.


Prefix Adjustment


This setting enables you to personalize the prefix IDs for invoices and receipts, offering flexibility in managing financial records by updating both current and future entries. You can refer to the following page to find out how to do so: How to use Prefix Adjustment?


Notification Settings


This section includes two settings: Email Notification Settings and Admin or Super Admin Notifications

Email Notification Settings

  • This setting allows you to send notifications to parents' email addresses based on selected actions. Additionally, you can receive these notifications by including your email address in the CC/BCC Emails section. Please note that notifications will only be sent to parents who have registered their account with an email address.

Admin or Super Admin Notifications

  • Student's Credit Wallet Expiration
  • Low Credit Balance Notification
Other Settings


The Other Settings comprise the following: 

  • Mobile-App Access

Providing mobile app access to parents offers a more convenient and efficient way for them to stay involved in their child's activities. By enabling specific events, you can unlock important features that allow parents to easily navigate through the app and access necessary information.

  1. Enable Parent to Make Replacement Requests: Allowing parents to make replacement requests directly through the mobile app streamlines the process.

  1. Enable Parent to Access Invoices: By granting access to invoices, parents can view their invoices and track any outstanding balances.

  1. Enable Parent to Access Rewards: AOne, in collaboration with merchants, to offer rewards to parents for using our application. These rewards may include discounts at participating vendors such as Boost Juice. Enabling this option will display a Rewards menu on the Guardian's mobile app.

  1. Enable Parent to Access Receipts: Allowing parents to view receipts directly through the mobile app simplifies the process of verifying payments and keeping records for future reference. Parents can easily access proof of payment for any fees or purchases made.
