How Teachers Send and Manage Attachments on the Mobile App?

Sharing files and images in AOne Schools is simple and straightforward. Whether you want to send a document, share a photo, forward something to another person, or look back at files shared in a conversation - this guide covers everything you need to know.

Note: Sending attachments is only available on the Tier 1 Starter plan. If you’re on the Free plan, you will not see the attachment option.  



What Can You Send as an Attachment? 


Before diving in, here’s a quick overview of what’s supported

Files

  • PDF, Word Documents (DOC, DOCX), Excel Spreadsheets (XLS, XLSX), PowerPoint Presentations (PPT, PPTX), Test Files (TXT), CSV, and ZIP Files. 
  • Each file can be up to 20 MB in size. 


Images

  • JPG, JPEG, and PNG formats
  • Each  image can be up to 5 MB in size.


Additional Information for Mobile App only

  • You can take a photo directly from the AOne Mobile App using your phone’s camera and send it straight to the chat. 
  • Photos taken this way are limited to 5 MB. 
  • If a photo comes out larger, the app will automatically compress it to fit.



Sending an Attachment


When you are inside a chat, look for the small Attachment button beside the message box at the bottom of the screen. That’s your starting point for sending  any file or image. 

  • You can attach up to 10 files or images when sending a new message.
  • If you're replying to a specific message, you can attach only one file or image at a time. 
  • The same behaviour is expected when using the Camera Roll in the Mobile App.  


On the Mobile App, you will see three options: File Attachments, Image Attachments, and/or Camera Roll. 


Sending a File

  1. Open a chat room (personal or group)
  2. Tap the Attachments button beside the message box
  3. Select File Attachments from the menu
  4. Your phone’s file browser will open
  5. Find and select the file(s) you want to send
  6. A preview of your selected file(s) will appear
  7. Optionally, type a message in the text box to go along with your file
  8. Tap Submit to send


Sending an Image

  1. Open a chat room (personal or group)
  2. Tap the Attachments button beside the message box
  3. Select Image Attachments from the menu
  4. Your phone’s photo library  will open
  5. Find and select the image(s) you want to send
  6. A preview of your selected image(s) will appear
  7. Optionally, use the editing tools to adjust the image before sending
  8. Type a message in the text box if you’d like to add a caption
  9. Click Submit to send


Taking a Photo with Your Camera

  1. Open a chat room (personal or group)
  2. Tap the Attachments button beside the message box
  3. Select Camera Roll from the menu
  4. Your phone’s camera will open and take the photo you’d like to capture
  5. The photo will appear in the preview area
  6. You can take more photos or edit them before sending
  7. Tap Submit to send



Editing an Image Before Sending


When you are previewing an image before sending, three editing tools are available on both platforms:

  1. Rotate
    Turn the image 90° to the left with each click or tap. You may use it if your photo came out sideways

  2. Crop
    Lets you adjust the image to a preset ratio

  3. Reset
    Puts the image back to exactly how it was before you made any edits 



Adding More Attachments

  • Click or Tap the Add More Attachments button in the preview area to include more files or images in the same message
  • If you’re adding more camera photos, tap Take More Picture instead 
  • Newly selected files or photos will be added on top of what you’ve already picked
  • This option is only available when sending a new message - not when replying



What Happens When You Send Multiple Attachments?

  • Each file or image you attach is sent as its own separate message in the chat.
  • If you select three images, they’ll appear as three individual messages in the conversation. 
  • If you also type a caption, it will only appear alongside the first attachment, the rest will be sent without text. 



Forwarding a Message


If you received a file, image, or text and want to share it with someone else, or in another group - you can forward it without having to retype or re-upload anything. 

  1. Find the message you want to forward
  2. Click or tap the Action button next to it
  3. Select Forward Message
  4. Checkboxes will appear on all messages in the chat, tick the message you'd like to forward
  5. Click or tap the Forward button on the bar at the bottom of the screen
  6. A list of people and groups will appear. Search for and select who you’d like to send it to. 
    (You can choose up to 5 recipients at once)
  7. Click or tap Forward Message to send
  8. Once forwarded, the message will appear in the recipient’s chat with a small label indicating it was forwarded. 


Another couple of things to note:

  • If you’re forwarding a reply message, only the reply content itself is forwarded, the original message it was replying to won’t be included
  • If you forward to someone you haven’t chatted with before, AOne Schools will automatically start a new conversation with them. 



What If a Message Fails to Send


Sometimes a message might not go through - maybe due to a slow internet connection. 

If that happens, you’ll see a small error indicator on the message. Here’s what you can do:

  • Click or tap the error indicator on the failed message and two options will shows up
  • Resend Message
    Tries to send the message again. It if goes through, it will appear as the latest messages in the chat
  • Delete Message
    Removes the failed message from the chat entirely, with no trace left behind. 



Viewing and Downloading Attachments


When someone sends you a file or image in a chat, you can view or download it directly from the conversation. 


To view an attachment

  1. Click or tap the file or image in the chat. It will open in full view so you can see it clearly. 
  2. If the file type can not be previewed (for instance: a ZIP file), it will download to your device automatically instead.


To download an attachment

  1. Click or tap the Action button ( : ) on the message with the attachment
  2. Select Download Attachment. The file will save directly to your device. 


Note: 

  • If a file or image has not fully loaded yet, it may appear blurry. 
  • You can still download it even in that state mentioned above, just use the Download Attachment button and it will save to your device.



Browsing All Shared Media and Files


Instead of scrolling through an entire conversation to find a specific image or document, you can use the Media and Files section to view all shared media and files in one place.


There are two ways to access Media and Files

Option 1:

  1. Open the chat room
  2. Click or tap the Action button at the top of the chat
  3. Select Media and Files


Option 2:

  1. Open the chat room
  2. Click or tap the Action button at the top of the chat 
  3. Select View Details
  4. On the details page, click Shared Media and Files



The Media Tab


This tab shows all the images ever shared in the conversation, arranged from the newest to oldest:

  • Images from the current month are grouped under “This Month”
  • Older ones are grouped by their month and year, for instance: “March 2026” 


The images are displayed in a neat grid. From here, you can:

  • Download
    Saves the image to your device

  • Go To Message
    Takes you back to the exact message in the chat where that image was shared, 
    and highlights it for you 


On the Mobile App: Tap any image to open it in full screen, then use the buttons at the bottom. 

Tap the Close (X) button to return to the Media tab.



The Files Tab

This tab works the same way as the Media tab, but for documents and other files. Files are also arranged from newest to oldest and grouped by month.

For each file listed, you can:

  • Download
    Saves the image to your device

  • Go To Message
    Takes you back to the exact message in the chat where that file was shared, and highlights it for you
