How to Manage Admin and Teacher Permissions for In-App Messaging on the Web App?

To keep communication organized and secure, Superadmins can manage the permissions available to Admins and Teachers for In-App Messaging. Managing these permissions helps ensure that messaging is used appropriately while giving each role the right level of access. 



Understanding the Available Permissions


There are four types of permissions for In-App Messaging, and all of them are enabled by default. You may modify the permissions based on your learning centre’s requirements. Before making any changes, it is important to understand what each permissions allows


View Permission

The View permissions control whether users can access the messaging feature.

If they try to open a message from a notification, the system will display an error



Create Permission

The Create permission controls whether users can start new conversations. However, existing conversations can still be viewed if the View permission is enabled. The table below shows what users can do when the Create permission is enabled or disabled.

Users can start a personal messageThe Create New Message button is hidden
Users can create a group messageUsers cannot start new chats



Update Permission

The Update permission applies only to group messages, not personal chats. It also requires the related user to be the Group Admin of that particular group. 

When “Update” permission is enabled, Group Admins can manage group settings, including: 

  • Editing group details
  • Adding new member
  • Removing members
  • Assigning members as admins
  • Removing admin roles


Meanwhile, when the “Update” is disabled, the options will still appear, but when clicked the system will show a permission error and the action will not be allowed.



Delete Permission

The Delete permission controls whether users can remove chats or groups. 

  • Delete Personal Chats
    When the permission is enabled, users will see the Delete option in the message list and inside the chat room. Meanwhile when it disabled, the Delete Chat option will not appear. 


  • Delete Group Messages
    To delete a group, the user must be a Group Admin, and the Delete Group option will appear in the message menu. But if the permission is disabled, the Delete Group option will be hidden. 


Example Use Cases

Every learning centre may have different communication policies. To support these needs, permission can be customized to control what users are allowed to do. For example:

  1. Allow Teachers to view messages but not delete them
  2. Allow Admins to manage group members
  3. Restrict who can create new conversations



How to Access the Permissions Settings

To configure In-App Messaging permissions for Admins and Teachers, you may follow the steps below: 

  1. Log in to the AOne Schools Web App as a Superadmin
  2. Open the Personnel module
  3. Go to the Personnel and Permissions page
  4. Select either: Admin Permission tab, or, Teacher Permission Tab
  5. After adjusting any permissions, click the “Update” button on the permission page
  6. The system will apply the new settings. 


Note: If you change the permissions but do not click “Update”, the changes will not be saved.
