How to edit enrollment date?

Keeping student records accurate is essential, and sometimes you might need to adjust a student’s enrollment date to better reflect their attendance. You may follow this guide to update enrollment dates easily, using either the Student Module or the Lesson Module.

Option 1: Editing via Student Module

Single Edit:

  1. Navigate to the Student Module.
  2. Select the student’s name.
  3. Open the Lesson Enrollment tab.
  4. Locate the lesson you want to edit and click the three dots under Action.
  5. Select Edit Enrollment Date.
  6. On the Edit Enrollment Date page, choose the new date.
  7. Click Check to confirm.
  8. In the Lesson Summary page, review the changes and click Save.

Bulk Edit:

  1. Go to the Student Module and select the student’s name.
  2. Open the Lesson Enrollment tab.
  3. Tick the boxes beside the lessons you wish to update.
  4. Click the Edit Selected Lesson(s) Enrollment Date button.
  5. On the Edit Enrollment Date page, select the new date.
  6. Click Check to confirm.
  7. Review the changes in the Lesson Summary page for each lesson by clicking Next.
  8. Click Save to finalize the updates.

Option 2: Editing via Lesson Module

Single Edit:

  1. Open the Lesson Module.
  2. Select the lesson’s name.
  3. Go to the Student Enrollment tab.
  4. Identify the student whose enrollment date needs to be edited.
  5. Click the three dots under Action and choose Edit Enrollment Date.
  6. On the Edit Enrollment Date page, select the new date.
  7. Click Check to confirm.
  8. In the Student Summary page, review the changes and click Save.

Bulk Edit:

  1. In the Lesson Module, select the lesson’s name.
  2. Open the Student Enrollment tab.
  3. Tick the boxes beside the students you wish to update.
  4. Click the Edit Selected Student(s) Enrollment Date button.
  5. On the Edit Enrollment Date page, select the new date.
  6. Click Check to confirm.
  7. Review the changes in the Student Summary page for each student by clicking Next.
  8. Click Save to apply the updates.

Special Cases: Package Types


Recurring, Recurring Combo, and One-Off Packages:

  • Moving the Date Forward: If no attendance records exist, you’ll see a summary with lesson or student details and any replacement lessons.
  • Moving the Date Backward: Only enrollment dates will be shown in the summary.

Credits and Universal Credits Packages:

  • The summary will display:
    • Updated enrollment dates.
    • Package & Credits details, including adjustments to the credit wallet.
    • Replacement lesson records (if any).
  • For Universal Credits, additional information about student bookings will be included (if any).
  • Key Details in the "Package & Credits" section:
    • Credit Validity Check: If the new enrollment date is outside the credit validity period (before activation or after expiry), this will be highlighted.
    • Selecting a Credit Wallet: Only active credit wallets will appear for selection based on the current date.
    • Adjusting Activation/Expiry Dates: You can update the activation or expiry date of the credit wallet, if necessary, by checking the corresponding boxes. This action will enable new fields to set the dates.
  • Moving Enrollment Dates Backward: If the new date is earlier than the original, the summary will only show the updated enrollment date(s) and Package & Credits section.


Important Notes

You can edit enrollment dates only if:
  • The student’s package (for Credit/Universal Credit types) is Active.
  • The student is not in a frozen period.
  • The new date is different from the current enrollment date.
  • There are no attendance records between the existing and new enrollment dates.
