How to Create and Manage Group Messages on the Mobile App

Group Messages allow you to communicate with multiple users in one structured conversation. Whether you're coordinating with teachers, guardians, or lesson-based participants, everything can happen in a single chat room.

This guide walks you through:

  • Creating a new Group Message

  • Using the Group Chat Room

  • Managing Group Details and Members


Creating a Group Message

Not everyone can create a group. Only Teachers with the correct permission can create Group Messages. Guardians can only create Personal Messages. If you have access, creating a group is straightforward.

How to Create a Group

  1. Log in to the mobile app.

  2. Select your role and school.

  3. Tap the Message icon on the homepage.

  4. Tap Create New Message.

  5. Select Group Message.

You’ll now enter the Add Group Members page. At this stage, the group does not exist yet. You’re simply preparing it.


Adding Members to the Group

This page shows all users registered to the school. To make it easier to find the right people, you can filter and search.

You can filter by:

  • Role (Guardian, Teacher, Admin, Superadmin)

  • Lesson (only active lessons appear)

When you filter by Lesson, the system will show:

  • Teachers assigned to that lesson

  • Guardians whose students are actively enrolled (Active or Frozen)

You can combine: Role filter + Lesson filter + Search
All filters work together.

How to Add Members

  1. Tick the checkbox next to the user’s name.

  2. Selected members will move to the top of the list.

  3. You’ll see a summary: “n Member(s) Added”.

Your selections remain even if you adjust filters. Once you select at least one member, the Create Group Message button becomes active. Tap it to continue.


Completing Group Details

Now you’ll enter the group setup page. The group is still not created yet. It will only exist after you tap Save.

Group Profile Picture (Optional)

You can:

  • Upload from Camera

  • Upload from Gallery

  • Remove the image

Supported formats:

  • JPG

  • JPEG

  • PNG

Maximum 5MB — larger files are automatically compressed. If you don’t upload anything, a default icon will be used.

Group Name (Required)

  • Maximum 120 characters

  • Cannot be empty

  • Cannot contain only spaces

If invalid, an error message will appear under the field.

Group Description (Optional)

  • Maximum 500 characters

  • Cannot contain only spaces

If left empty, the system will display “~” in Group Details.


Managing Members Before Saving

Before saving, you can still adjust the member list.

  • You (the creator) appear first.

  • Others are sorted alphabetically.

If you are a Teacher + Group Admin + have Update permission, you can:

  • Remove members

  • Promote members to Admin

  • Remove Admin role

If you don’t have permission, you’ll see:

Permission Error.
You don't have the permission to access this feature.

Final Step: Save the Group

When everything looks good, you can tap Save. After that, the system will:

  • Generate a Conversation ID

  • Show a success notification

  • Add the group to your message list

  • Open the new chat room

  • Display a banner showing who was added

Now the group officially exists and is searchable.


Using the Group Chat Room

Once created, the group appears in your Messaging list.

To open it:

  1. Go to Messaging.

  2. Tap the group name.

What You’ll See Inside

At the top:

  • Group profile picture

  • Group name

  • Back button

  • Three dots (⋮) menu button

Messages are grouped by date (Today, or full date format).

Incoming messages:

  • Left-aligned

  • Show sender’s name

  • Show timestamp

Your messages:

  • Right-aligned

  • Show timestamp

  • Single check = sent

  • Double check = delivered

You can type unlimited characters, and the message box expands automatically (up to 5 lines). Empty messages cannot be sent.


If a Member Becomes Archived

Sometimes a user may become archived at the school level.

When that happens:

  • They are automatically removed from the group.

  • Their previous messages remain visible.

  • An Archived icon appears next to their name in past messages.

  • A banner informs the group about the update.

This keeps communication transparent while preserving history.


Viewing and Managing Group Details

You can open Group Details in two ways.

From inside the Chat Room:

  1. Click three dots (⋮) button.

  2. Select View Details

From the Messaging page:

  1. Click three dots (⋮) next to the group

  2. Select View Details

What You’ll Find There

  • Group profile picture

  • Conversation ID (with Copy button)

  • Description

  • Total member count

  • Member list

  • Role labels (Admin / Member)

To copy the Conversation ID:

  1. Tap Copy.

  2. A confirmation message appears.

  3. The ID is saved to your clipboard.


Managing Members (For Admins)

If you are a Group Admin and have Update permission, you can manage roles and members.

Removing a Member

  1. Tap the X next to their name.

  2. Confirm.

Result:

  • Success notification appears.

  • Members are removed.

  • A banner informs the group.

Promoting a Member to Admin

  1. Tap Add as Admin.

  2. Confirm.

They immediately become Group Admin.

Removing Admin Role

  1. Tap Remove as Admin.

  2. Confirm.

Important:

  • A group must always have at least one Admin.

  • If only one Admin exists, the system will prevent removal.

If you remove your own Admin role, your view will switch to Member mode.
